What are we looking for:

Exceptional organisation skills and the ability to manage multiple priorities and stakeholders

Excellent knowledge of Microsoft office
(Word, PowerPoint, Excel and Outlook)

At least 12 months experience of working in a professional office environment

Proficient and confident in the use of technology and common software applications

About the role

This role is key to the smooth running of the office. Whilst there will be a regular set of responsibilities, no two days will be the same and the tasks associated with the role will be varied so we require someone who is flexible, with a can do attitude, great organisational skills, and has the ability to multi task.  In addition to this, you will provide administration support and diary management to the Client Director team as and when needed (currently comprising of eleven Client Directors).

The role reports to the Executive Assistant to the Partner team, who will provide support and guidance as well as HR Leadership which includes performance management and career development.

Key responsibilities for the Office Management Support role: 

•  Reception duties: greeting visitors, notifying colleagues of their arrival and ensuring that rooms are ready for planned meetings
•  Meeting preparation, managing the online room booking system and provision of refreshments
•  Answer phone calls to the office and direct to appropriate colleague. This includes taking messages as necessary and conveying these to the right person
•  Providing administration support for meetings and bid work, including producing & formatting documents, binding, preparation of briefing papers, reports and presentation
•  Co-ordinating diaries, arranging meetings, booking travel, and inputting expenses for the Client Director team
•  Supporting internal projects and initiatives that are key to the continued growth and success of the firm
•  Ensuring the office is a smart, tidy and professional environment at all times.
•  Ordering catering and managing suppliers for relevant events
•  Arranging couriers and receiving deliveries
•  Supporting Business Support team colleagues as and when required
•  Supporting sector teams to qualify and highlight potential opportunities by managing the central mailbox
•  Being a key part of making Moorhouse a successful and fun working environment

Key Skills:

  • •  Ability to plan and schedule their own workload, deal with several tasks at once, and cope well under pressure
  • •  Strong attention to detail 
  • •  Exceptional communication skills – ability to express yourself clearly and succinctly in both verbal and written communications
  • •  Confident, friendly, outgoing approach, able to develop good relationships with colleagues at all levels
  • •  Flexible and positive attitude, willing to do what is necessary to get the things done
  • •  Self-starter with exceptional work ethic and can do attitude

Package & Location:

  • •  You can expect a base salary between £20,000 - £23,000 dependant on the level of relevant experience, plus an annual discretionary personal bonus of up to £3,500 and company bonus of £1,500
  • •  25 days paid holiday, plus five days’ unpaid holiday. For every year of service, one unpaid day becomes a paid day.  There is also an opportunity to buy or sell up to five days’ annual leave per year.
