Improving theatre scheduling at NHS Trust

Who?

A medium-sized NHS Trust in central England comprised of three hospitals conducting over 15,000 elective operations a year.

The challenge

The Trust was not achieving its targeted elective activity due to scheduling being done at the last minute, leading to high numbers of procedures being cancelled and lists being under-utilised.

How we helped

We worked with schedulers, service managers and clinicians to introduce a robust scheduling process leveraging 6-4-2 lessons. Weekly scheduling meetings and a new automated dashboard enabled lists to be filled weeks out and problems to be escalated and solved before they caused procedures to be cancelled. ​

By coaching and role-modelling effective behaviours, we embedded a culture of proactive problem-solving, helping staff move away from day-to-day firefighting.

Outcomes

  • Theatre lists achieved fill rate targets up to five weeks out.
  • Session cancellations reduced by 62% ​
  • Seven more sessions per week equating to potential annual revenue of £1.7m​
  • Up-skilled staff ensuring that the improvements have been sustained for 5 months
